Big Global Events is a boutique agency specialising in the planning and delivery of seamless conferences and corporate events for the professional services sector. We might be small, but we’ve got massive dreams, buckets of ambition, and absolutely sky-high standards.
We’re on the hunt for an experienced, highly driven individual to become an integral part of our team, leading client and agency collaboration across an exciting range of global events and brand experiences.
Who we’re looking for: We need someone who has walked the walk as an agency or freelance producer with 7+ years of experience. You should be an absolute specialist in stakeholder management, project leadership, and departmental collaboration. You’ll be the driving force taking our projects through their entire lifecycle - from that initial spark of a concept and the winning pitch, right through to on-the-ground production and final delivery.
Key Responsibilities
- Project Management
- Lead or support projects alongside the Managing Director, driving the ideation, development, pitching, and production of innovative, flawless event solutions that achieve client objectives.
- Manage project kick-offs and own event timelines to keep all moving parts on track, adhering meticulously to internal and client processes.
- Direct production, strategy, and creative resources based on project needs, working seamlessly both independently and with freelancers.
- Proactively anticipate project bottlenecks and wider challenges, responding swiftly with strategic and effective solutions.
- Prepare comprehensive and accurate pre-production and on-site documentation, running orders, and schedules.
- Oversee all delivery partners - managing sourcing, briefing, and negotiation - to ensure a cohesive approach that hits all deadlines and budget targets.
- Provide clear, consistent planning updates to the Managing Director during the delivery phases of larger-scale projects.
- Guide and advise freelance talent, ensuring strict adherence to project delivery best practices.
- Drive the post-event wrap-up and administrative process, collaborating with Marketing to develop compelling case studies.
- Continuously identify and implement process efficiencies to execute projects on time, within budget, and above stakeholder expectations.
- Flexibly adapt to additional role-specific duties and requirements as agency and client needs evolve.
- Finance:
- Scope, prepare, and manage multi-currency budgets with precision, actively controlling scope creep and proactively justifying any financial fluctuations.
- Execute internal financial administration flawlessly, including recording quotes and tracking payments, maintaining payment schedules, and facilitating supplier invoices (whether paid internally or through the client).
- Drive final project reconciliation, ensuring accurate financial data is handed over promptly to the wider team for timely billing.
- Creative & Strategy:
- Leverage a deep understanding of client brand strategies to ensure live experiences directly drive their overarching business objectives.
- Assess materiality and set design feasibility, skilfully balancing creative ambition with strict budget and timeline parameters.
- Navigate the intersection of content, design, and strategy with a comprehensive grasp of cross-functional workflows, individual roles, and accurate task timeframes.
- Maintain an extensive network and deep knowledge of premium suppliers across all event disciplines.
- Partner seamlessly with the creative freelancers to spark new concepts and strategically guide their development from ideation to execution.
- Client Relationships:
- Cultivate strong, trusted relationships with key client stakeholders across all levels.
- Execute client requirements while confidently acting as a strategic advisor - challenging briefs and recommending robust alternatives to optimise project outcomes.
- Drive transparent, open communication, proactively setting and managing clear expectations regarding feasibility and deliverables.
- Champion continuous improvement by actively participating in and leading internal and client-facing project debriefs.
- Business Development:
- Partner in crafting compelling new business pitches and confidently deliver in-person client presentations.
- Proactively identify and convert opportunities for account growth and repeat business within existing client portfolios.
- Drive broader agency growth through active industry networking, securing referrals, and leveraging your established professional contacts.
- Sustainability:
- Champion sustainability and accessibility best practices, committing to continuous industry education and the application of new standards.
- Proactively identify and implement strategies that elevate environmental, social, and commercial outcomes across your project portfolio.
Requirements
- You have 7+ years of experience working in agencies or as a freelancer in a Producer or Senior Producer role.
- You have excellent communication skills, comfortably connecting with clients, suppliers, and our internal team. Whether it’s in person, on the phone, or via email, you communicate clearly, diplomatically, and know how to negotiate effectively.
- You have experience in leading and mentoring a team.
- You’re passionate and self-driven, always ready to take initiative and fully immerse yourself in the brands you work with.
- You're energetic and have a proactive approach; you manage your time efficiently and stay ahead of the game.
- You stay calm and patient even when juggling multiple requests, keeping everything organised and maintaining a positive attitude.
- Exceptional organisational skills help you manage several projects at once with ease.
- You're willing and able to travel abroad as needed (around 15-20% of the time), adapting flexibly to seasonal peaks in our global delivery schedule, typically between March–June and September–November.
- You're comfortable using a Mac and familiar with G Suite, Microsoft Word, Excel and Canva.
- The Interview Process:
If you are shortlisted, we will invite you to join a 30 minute virtual call for us to get to know you better and for us to tell you more about the role and agency, and answer any initial questions.
