Finance and Operations Assistant

About this role

Our client is hiring a Finance and Operations Assistant for the flower and extraction brokerage dashboards. Specifically, this role works directly with our General Manager to account for deals as they happen during the business day. This means actively supporting the creation and entry of complex sales orders with multi-layered commission structures that get accounted for and paid out to different parties—essentially running air traffic control on deal entry during high-intensity business hours.

What you'll do

• Own data entry and reconciliation across all dashboards, ensuring data is accurate, consistent and updated on the agreed cadence.
• Maintain and troubleshoot complex, formula-heavy, multi-tab spreadsheets.
• Keep data entry and books organized and current across all LLCs.
• Prepare and organize expense reports and financial data for submission to our 1099 bookkeeper ahead of the monthly QuickBooks close.
• Coordinate with an Admin Assistant to receive timely inputs from team members across business units — not responsible for chasing data down independently.
• Stretch, not required at hire: basic bookkeeping competency, with the long-term possibility of absorbing some bookkeeper tasks over time.
• *In addition to the spreadsheet close cadences above, all entities also go through a monthly formal bookkeeping close in QuickBooks, handled by our 1099 bookkeeper — this role prepares and organizes the data that feeds that close.

Requirements

• Strong Excel/spreadsheet fluency — comfortable inside complex, multi-tab, formula-driven files. (+2 years of proven experience)
• Able to troubleshoot formula errors using AI tools (e.g., Claude) — no formal coding background required.
• Comfortable coordinating across multiple teams and business units.
• Strong written English.
• High attention to detail — this role is judged on daily accuracy, not speed.
